Submitting Hours

  • Student employees are required to submit time worked each week. The deadline for all time sheets to be submitted is noon EST on Mondays (noon EST on Tuesday if Monday is a holiday).
  • The deadline for supervisors’ to approve their students’ hours is Noon EST on Tuesday.
  • Time sheets for students are locked down at noon EST on Mondays (Tuesdays if Monday is a holiday) to allow for payroll processing. 
  • All time entered in Time Entry must be “Submitted” by the student and “Approved” by the supervisor in Workday. The time will not come into payroll to be processed if it is not submitted and approved prior to finalizing the payroll. 
  • If Time is entered but not “Submitted”, the student’s time sheet will not be available in their supervisor’s Inbox in Workday for approval. Students can check with their supervisor to be sure that their time is available to their supervisor for review and approval.
  • Supervisors should confirm with their students that their time was entered and submitted so that the supervisor can review and approve the timesheet no later than the noon deadline on Tuesday.
  • Payroll processing is completed on Tuesday afternoon with a Friday pay date. Once completed, no additional entries can be made to that payroll. 
  • If a student’s time sheet was not submitted by noon EST on Monday, they will be able to enter their time worked on their timesheet when it is reopened and available on Wednesday at 3:00 p.m. EST. Time submitted on Wednesday, if approved, will be processed in the next scheduled payroll as a retroactive payment.
  • Adherence to the above guidelines will ensure student time sheets are processed timely and accurately each pay day.

Delegating Timesheets

When a supervisor is going to be absent, they must delegate those timesheets to someone in their department. This is done through Workday.

If you need to transfer your supervisory organization to another worker, please send an email to the Office of Student Employment.

Student Pay

Student employees are paid at an hourly wage weekly. Pay rates will vary depending on the level of experience, and the responsibilities for each position, but will always adhere to the state minimum wage. Please note that students conducting specialized research or highly-skilled work are typically paid at a higher rate.

If a student has been awarded Federal Work-Study, which is a finite amount, their pay rate may influence the number of hours that they are able to work (this applies specifically to off-campus agencies). If a student uses up their FWS funds, they can make an appeal for additional funding or their employment can be switched over to EME.

Student Employees are paid for hours worked, not hours scheduled. Days missed due to illness, weather, or holidays are not to be counted as hours worked. It is Massachusetts state law that all employees who work more than 6 hours are required to take an unpaid 30-minute break. Students may not waive their right for this break.

As per Massachusetts State Law, most people who work are considered employees and must be paid at minimum wage or higher for all the time that they work.
